IT Staffing at the Medbase Group

Transparency Leads to the Right IT Service Partner.

The Medbase Group, headquartered in Winterthur, is one of Switzerland’s leading providers of outpatient healthcare, with approximately 190 medical centers, pharmacies, and dental clinics. In an environment where availability, security, efficiency, and increasing cost pressures are critical, Medbase faced the strategic challenge of realigning its IT services following the expiration of its existing full-IT outsourcing contract and identifying the right service partner for the future.

atrete guided the Medbase Group, acting as independent and neutral sourcing advisors, through the entire bidding process. The goal was to establish a solid basis for decision-making regarding the future direction of IT services while significantly increasing transparency, comparability, and controllability in the procurement process. Working closely with the IT manager, the functional, technical, and organizational requirements were precisely defined and translated into a clearly structured request for proposals.

The focus was on clearly defining standard IT services, clearly delineating responsibilities, and taking into account regulatory requirements in the healthcare sector. atrete provided support in defining the scope of services, preparing the request for proposal (RFP) documents, and developing practical evaluation criteria. The result was an RFP that was not only technically sound but also ensured that bids could be compared in a transparent manner.

Thanks to the transparent structuring of service categories and the consistent separation of basic and additional services, Medbase achieved significantly greater cost transparency. This made it possible to compare service offerings not only in terms of quality but also on a sound economic basis. At the same time, opportunities for optimization in future IT operations were addressed without compromising stability, quality, or the relevance of care.

On this basis, the vendor evaluation was conducted methodically and implemented in a structured manner. The impartial facilitation and clear process model enabled Medbase to analyze the submitted proposals transparently, identify risks early on, and make well-informed decisions with a high degree of certainty. The result was a robust basis for selecting a future IT outsourcing partner that aligns strategic objectives with economic benefits.

“atrete already supported us with a high level of expertise during our first outsourcing project. Accordingly, being able to count on an experienced and reliable partner was of great value in this IT resourcing project as well. Thanks to their professional management of the bidding process, we were able to maintain a clear overview of the complexity and associated risks at all times. This enabled us to make well-informed and sound decisions even in a challenging environment. It is worth noting that the outcome resulted in a noticeable reduction in costs.”
